Every time a new project starts, someone on your team has to create the tasks. Copy from last time, rename things, assign people, set dates. It takes 20–30 minutes and it's exactly the same every time.

That's the most important signal that something should be automated.

This post shows you how to build a project setup automation that creates your full task structure the moment a new project kicks off — with no manual effort.

What This Automation Does

When a new project is confirmed (via a trigger of your choice), your automation will:

  1. Create a new project or folder in your PM tool
  2. Populate it with all your standard tasks from a template
  3. Assign tasks to the right team members
  4. Set due dates based on the project start date
  5. Notify the team that the project is live

The result is a fully structured project, ready to go, created in seconds.

How It Works: Step by Step

Step 1: Build your project template

Before automating anything, you need a clear, reusable project template. In ClickUp or Notion, create a template that includes every task your standard project requires — broken into phases if needed.

For each task, note:

  • The task name
  • Who is typically responsible
  • How many days from project start it should be due

Don't overthink this. Start with your most common project type and build from there.

Step 2: Decide your trigger

Common triggers include:

  • Deal moved to “Won” in your CRM
  • Contract signed
  • A form submission indicating a new project

Step 3: Use Make.com to connect everything

Your scenario will:

  1. Watch for the project-start trigger
  2. Create a new project in ClickUp or Notion from your template
  3. Loop through each task in the template and adjust dates/assignees as needed
  4. Post a message in Slack to let the team know a new project is live
